Gems Performing Arts: Terms & Conditions
1. Attendance & Punctuality
- Commitment: Weekly classes require consistent attendance. If a student misses more than two classes per term, Gems Performing Arts reserves the right to withdraw their place in upcoming shows or future courses to maintain the group’s progress.
- Timeliness: Students should arrive 5 minutes before the start of class to settle.
- Late Arrivals: To avoid disrupting the professional environment, students arriving more than 15 minutes late may be refused admission.
- Absences: Please notify the Course Manager in advance if a student will be absent.
2. Uniform & Presentation
- Clothing: A Gems T-shirt and black jazz pants are the preferred uniform. Jeans, skirts, and dresses are strictly prohibited.
- Footwear: Black soft plimsolls, trainers or black jazz shoes should be worn.
- Grooming & Safety: Hair must be tied back away from the face. For safety reasons, no jewellery is permitted (except for small stud earrings).
- Labelling: All personal items (t-shirts, shoes, bags, and folders) must be clearly labelled with the student’s name.
3. Conduct & Environment
- Behaviour: We operate a zero-tolerance policy for racist, sexist, or otherwise offensive language and behaviour. We reserve the right to terminate membership immediately without notice if this policy is breached.
- Observation: To ensure students remain focused, parents/carers are not permitted to watch classes. For new or unconfident students, a one-off exception may be made at the teacher’s discretion.
- Prohibited Items: Chewing gum and fizzy drinks are strictly forbidden on the premises.
- Mobile phone use are strictly forbidden. Phones may be handed to a teacher for safekeeping during club hours but ideally are turned off once entering the school site and left in bags. Please read our mobile phone policy for more info.
- Saturday Sessions: Students should bring a light snack, a drink, and a dedicated folder for scripts/song sheets.
4. Health, Safety & Liability
- Liability: Gems Performing Arts accepts no responsibility for the loss or damage of personal belongings, nor for any injuries sustained on the premises, except where caused by proven negligence.
- Staffing: All staff, including deputies, assistants, and trainees, are suitably qualified, experienced, and hold enhanced DBS checks.
- Information Updates: Parents must immediately notify the Manager of any changes to medical info, emergency contacts, or home addresses.
5.Force Majeure & Inclement Weather Policy
- Cancellation by Us (Force Majeure): Gems reserves the right to cancel, reschedule, or curtail any booking due to circumstances beyond our reasonable control. This includes, but is not limited to: severe or dangerous weather conditions (including extreme heat, storms, flooding, or high winds), natural disasters, government-mandated restrictions, or any other "Act of God" that compromises the safety of our guests, staff, or equipment.
- Refunds & Liability: In the event of a cancellation due to Force Majeure, Gems is not liable for any refunds, compensation, or consequential losses incurred, but we will make every effort to offer an alternative date or credit.
6. Collection & Emergencies
- Prompt Collection: Children must be collected immediately after class. Repeated late collection may result in the loss of your child’s place.
- Emergencies: In the event of a collection delay, you must contact the designated emergency number (provided at the start of term).
- Authorised Collection: We must be notified in writing if someone other than the primary carer is collecting your child.
- Unsupervised Departure: Only children aged 10+ may leave the premises unsupervised, and only with prior written parental consent.
7. Bookings & Cancellations
- Securing a Place: Classes are allocated on a first-come, first-served basis upon receipt of full payment and a completed booking form.
- Withdrawal Notice: We require four weeks’ written notice to discontinue classes. This allows us to manage our waiting lists and term planning efficiently.
8. Media & Photography
- Usage: Gems Performing Arts may take photographs or videos for marketing, press, and website use. All photographers are DBS-checked and images are used sensitively.
- Opt-Out: Please notify us in writing if you do not wish for your child to be photographed.
- Social Media: For safeguarding reasons, parents must not post images or videos of other students on social media without express permission from that child’s legal guardian.
